One of the methods used to filter emails in Outlook is conditional formatting, where you can see only the emails sent to you personally, and consider them the most important. We can also apply conditional formatting in Outlook to any feature we want, such as a specific word mentioned in the email, or the email sent by a specific person. Then you can make the email a different color.
Steps for conditional formatting in Outlook to change the format of emails directed to you only
In this case, and to distinguish the conditional formatting case, we prepared 3 types of emails arriving to our email, which is rex12302@outlook.com, by sending from another email. In the first case, the email was directed from another email to our email only.
In the second case, our email was cc and the email was directed to someone else completely.
As for the third case, the email was directed to our email with another email completely.
In this case, our goal, as we mentioned, is to distinguish only emails sent to our email address, which is rex12302@outlook.com.
Steps to apply conditional formatting in Outlook
First, we choose the “View” option from the toolbar.
Then we have the “View Sitting” option.
After that, we choose the “Conditional Formatting” option in Outlook.
Then from the top, we choose “Add”.
We write in the blank “To me” to specify the emails sent to our email only.
After that, we choose “Font” to specify the font options in which we want the received email to appear, which was sent to our email only.
In this example, we will choose the dark blue color, the font size is big “Bigger”, and finally we choose “Ok”.
Condition selection options
Then through the “Condition” option, we will choose the condition that if met, the email will be changed. Here we have several options.
First, we have the option to select a specific word, and then specify the place where it is located.
Or it could be from a specific person such as the manager, for example.
Then we have the condition we want, which is “Sent to”.
Then we will click on “Sent to” and choose our email, and then “Ok”.
After that we select the option “Where I am”, and make sure that it is “The only person on the To line”, and then we choose “Ok”.
After that, we continue to click on “Ok” for all windows. We notice that Outlook has changed the format of the email sent to our email only, and you can notice that from outside the email.
